We expect a reasonable level of wear during your hire. However, we ask that you respect our vehicles and return them in good condition.
UK law classifies our commercial vans, minibuses, and hire cars as public workplaces. Because of this, smoking inside any Cargo Hire vehicle is strictly illegal. If we detect smoke odours, ash, or burn marks when you return the vehicle, we apply a minimum penalty fine. This charge can rise up to the value of your full insurance excess if we need to perform a specialist deep clean to remove heavy smoke damage.
If you return your car or van with excessive mud, deep stains, heavy pet hair, or rubbish, we will add a valeting charge to your final bill. The exact cost depends entirely on the cleaning time and the specialist equipment we need to restore the cabin for our next customer.
We hand over every vehicle with a completely full tank of fuel. You need to return it full. If the fuel gauge sits below full when you arrive at our depot, we apply a refuelling surcharge. We add this administration fee on top of the actual pump cost required to top up the tank.
Processing Penalty Charge Notices
As the registered owner of our fleet, local authorities send us all traffic offence notifications linked to your hire period. These notices include parking tickets, speeding fines, bus lane violations, and unpaid emission zone charges.
Administration Costs
When we receive a penalty notice, we must legally transfer the liability to you as the driver. We apply a set administration fee for every single notice we process. This fee covers the paperwork required to redirect the ticket to your home address. Please remember that you remain fully responsible for paying the actual fine directly to the issuing body.
Yes. If you return the vehicle after the agreed time on your hire agreement, we may apply a late return charge. Extra rental charges may also apply if the delay affects another booking.
The cost depends on the type of vehicle and key. Modern vehicle keys can be expensive to replace, especially if programming is required. We will charge you the full replacement cost, along with any recovery or administration costs if the vehicle cannot be moved.
Yes. You are responsible for paying all tolls, congestion charges, clean air zone charges, and similar road fees during your hire period. If we receive notice of any unpaid charge after the vehicle is returned, we will transfer the liability to you and apply an administration fee.
Yes. If the vehicle is returned in an excessively dirty condition, we may apply a valeting charge. This includes issues such as heavy mud, strong odours, pet hair, stains, or rubbish left inside the vehicle.
You remain responsible for any fine or penalty issued during your hire period. If the notice is sent to us as the registered keeper, we will pass your details to the issuing authority and apply an administration fee for processing the notice.
